Dates and flexibility
- List the dates you could realistically play, not just one ideal date.
- Note whether weekday golf is possible, since it can materially affect options.
- Flag any dates within 14 days, because short-notice requests may be more limited.
Group size and handicaps
- Confirm how many golfers are actually playing.
- Note whether the group is beginner, mixed, or more experienced.
- Identify any non-golf guests early so the day shape can be judged realistically.
Club rental requirements
- Decide whether the group is bringing clubs or relying on rentals.
- Flag left-handed players, preferred brands, or sizing sensitivities where relevant.
- Check whether golf shoes also need to be rented.
Suitable budget and preferred region
- Think about the overall day, not just the golf fee.
- Consider the likely region: Tokyo / Chiba, Kanagawa / Hakone, Mt. Fuji / Yamanashi, or elsewhere.
- Remember that concierge fees and supplier costs are quoted separately.
Transport planning, hotel location, and timing
- Know where you are staying or at least which area you are likely to stay in.
- Decide whether you want recommendations or introductions to licensed transport providers.
- Allow for the full travel day, not only the tee time.
- Think about whether early departure times are realistic for the group.
Dress code, lunch break, bath customs, cancellation awareness, and weather
- Be prepared for clubhouse etiquette and a neater dress expectation than some visitors expect.
- Remember that many Japanese golf days still include a lunch break between nines.
- Bathing facilities are common and optional, but it helps to know they may be part of the club routine.
- Do not assume identical cancellation policies across all clubs.
- Check the season and likely weather pattern for the region you are considering.
Hotel considerations, non-golf guests, and supplier rules
- Choose hotel areas with realistic morning access to the course.
- Clarify whether non-golf guests are simply accompanying the group or need separate planning.
- Remember that final availability, admission, pricing, and supplier terms remain with the relevant provider.
